Maintaining copies of emails is a critical function for day to day operation of the University and historical emails are often required for audits and litigation activities. At the same time, storage inside of a mailbox is limited because of current technology and budget constraints. To meet the need to save email messages while keeping our corporate email system up and operational, IT has implemented a technology to archive email messages.
The Mail Archiver automatically stores every message in databases separate from mailboxes. It is monitored and backed up regularly. Once messages are in the archive, they can be safely removed from the mailbox. You are encouraged to check their archives before deleting them from their mailboxes if you are questioning the ability of the archive to store your email messages.
Accessing the Mail Archiver Web Client
In any web browser, go to https://mailarchiver.umes.edu to access the Mail Archiver website. If you are prompted to log in, please enter your campus e-mail address in the username field (in the format username@umes.edu) and enter your normal password in the password field.
Viewing Archived Mails in Outlook
All campus computers that have Microsoft Office installed should also have the Mail Archiver Outlook Connector installed. In Outlook, it is listed under the mailbox (username@umes.edu) in the left navigation pane as “GFI MailArchiver Mailbox.” It can be navigated the same as the normal mailbox. Some things to note about the Outlook Connector:
- It does not update immediately – for immediate updates, please use the Web Client
- It only stores the previous year’s messages – for older messages, please use the Web Client

Q: | I had manually archived my messages into PST’s and now they have vanished, what happened to my archives? |
A: | IT imports all PST files into the Mail Archiver to keep our archives consistent. If your PST vanished, please check in mail Archiver within a day or two and your PST archived messages should appear. |
Q: | Can I keep my old PSTs? |
A: | Eventually, all PSTs will be imported into the Mail Archiver. We recommend that you use folder structures in your mailbox, which will be replication automatically into the Mail Archiver. |
Q: | I see some of my e-mail folders in Mail Archiver, but the folders are empty, where are my messages? |
A: | While messages are immediately archived, it takes time for the system to move them into the correct folders. The folders will populate eventually. Please follow this link to learn how to use search folders: Creating and using search folders. |
Q: | Can I really delete any of my old messages when I get the “mailbox is full” e-mails? |
A: | We encourage you to verify that a message exists in Mail Archiver prior to the deletion of the most critical e-mails by using a simple search. Please see the following link on how to search: Searching email archive stores |
Q: | I got an email five minutes ago and I don’t see it in the GFI Mail Archiver Mailbox in Outlook. What’s wrong? |
A: | It takes time to update the messages in the Outlook Connector. For real-time archives, please use the web client at https://mailarchiver.umes.edu/mailarchiver. |
